  You can just look up the task in the task database and can type the task number into the Labour Analysis sheet and then invoke a macro that will populate the necessary labour elements and the associated materials into the material sheet. This makes the job of specifying a job so much easier as you just have to adjust the quantities, lengths etc.. to trim the standard task to suite the specific customer requirements.
  
  

• Database of Materials
  We have devised a Primary Key system that makes it easy to retrieve information and gives a list possibilities should the search of the database not reveal an exact match - you can just select which one you want to choose.
  
  

• A Sophisticated bespoke system of Group coding
  we have devised a group naming system which is thus unique to our business. Details of materials and labour items can either be clumped together or separated out, depending upon how much information you want to present to your customer.
  There are also SuperGroups where you can combine the financial values of the groups and just present one combined price to your customer.
  

  
  

• A simple colour coding system can be used to associate Materials and Labour Items
  so that a customer can easily identify which group of materials goes with which labour items. Which is great for optional extras that can be presented on a single quotation.
  
  

• Ability to produce emailable Quotations / Invoices
  which also can be linked to your website. Asking your customer's email address at the quotation phase of a job is bound to impress.
  
  

• A uniform job number is replicated across all the forms, including Electrical Certificates.
  
  

• All this flexibility is built onto a standard spreadsheet software
  Open Office's calc, which makes it ultra easy and flexible to modify and adjust to suite your specific requirements. If you want an additional logo - then just add one on the quotation sheet and it will be incorporated onto all future quotations. What could be simpler. • A White Paper mode whereby the forms can be printed out so that they can be used on site and then the information returned to base to be typed up, in exactly the same format as has been used on site. No need for expensive equipment such as a PDA, which can get lost, stolen, dropped, wet or have it's batteries fail.

You need Open Office available from www.openoffice.org ( free to download )

Send emailable literature:- Quotations, Invoices, Drawings even Electrical Certificates via the PDF generator within OpenOffice.
You can open the EQIC software in OpenOffice and create PDF files that are readable ( but not changeable ) by the recipient. PDF files are a standard accessible to all, if necessary by downloading the software from the www.adobe.com website.

Sending Certificates in PDF format as attachments to emails is a very powerful and speedy way of doing business.
Your customers know for example that they can print out as many copies as they want – they can forward emailed attachments to other interested parties such as prospective buyers or tenants. They know that it is probably ultimately safer as a PDF ( with a copy printed out to be located by the consumer board ) than to have a single copy positioned in a dark cupboard where the ravages of age will affect the durability and longevity of the document. From your point of view – nothing could be simpler – you can generate the documentation at any time day or evening and can immediately send it over the customer, saving on the posting and the hassle of posting it and you even get your customer to use his or her own printer ink into the bargain.
